Step-by-step
Every session, mile, receipt, donation, and invoice is already inside the app. Exports and reports are the moment that pile becomes something a CPA, a client, or QuickBooks can actually read — without you re-typing a single thing.
Big-picture exports live in Settings → Tax & Records → "Export Business Data" (everything you've done across every project, filtered by a date window). Per-project reports live inside the Vault for that one project ("Generate Report" — a branded PDF for that specific client or audience). Different door, different audience, same idea.
The Export modal opens with six quick-pick presets — This Month, Last Month, Last 3 Mo., This Quarter, Year-to-Date, or Custom. Custom gives you a month-by-month picker for start and end. The "Exporting: [range]" chip confirms the window, and everything below — both export formats — only includes sessions, receipts, and invoices that fall inside it.
Tap "Tax Summary (JSON)" and the app builds a structured file: total labor hours, total labor value, total miles, total expenses — plus every underlying session and receipt for proof. Hand it to your accountant or feed it into your own spreadsheet. Nothing rounds, nothing gets lost.
The Accountant Export is a single CSV with three clearly labelled sections: TIME LOGS (every session with rate, hours, mileage, billable flag), EXPENSES (every receipt with vendor, category, amount), and INVOICE SUMMARY (every sent invoice with status, totals, payment method). Open it in Excel, import it into QuickBooks or Wave, or hand the file to a bookkeeper.
Inside any project's Vault, "Generate Report" produces a branded PDF that auto-shapes itself by your industry. A hauler gets a Charitable Donation Tax Summary (IRS Pub 561 valuations, FMV column, CPA disclosure). An adjuster gets an Inspection Evidence Report (serial/ref column, condition notes, professional certification). A designer gets a Sourcing Catalog (price column, sourcing-notes disclaimer, share-with-client wording). The columns, totals, and legal language all change to match.
In Settings → Team (Boss tier), two buttons sit side-by-side: "Export My Log" backs up your own sessions as a JSON file, and "Import Staff Log" reads a JSON file your crew sent you and merges it into the matching projects. Crew exports their log on their phone, sends it to you any way they like — AirDrop, email, iMessage, Drive — and you import it once you have the file. Duplicate entries are automatically skipped, so importing the same log twice is harmless.
Link Google Drive or Dropbox once in Settings → Storage Integration. Handle It! claims a tidy folder convention for your business — /Handle_It! / [Your Business] / [Project Name] — so when you share an export through the device share sheet, you can drop it straight into the right place. Three years from now, when you need a specific donation receipt or that one Q2 CSV, you don't go hunting through email — you open the folder.
