Starting a new project.

Every job in Handle It! starts here. In about a minute, you'll have a project that tracks time, captures expenses, transcribes voice, and turns into a clean invoice — all without leaving the field.

Step-by-step

How it works.

  1. 01

    Create the project

Tap the + button on the Home tab. Pick the client (or add a new one on the spot), give the job a name, and set the rate — hourly or flat-fee. Takes about 15 seconds.

TipHave a project you do over and over? Skip the setup — apply a saved template instead.
  2. 02

    Set up your tasks

Every new project comes pre-populated with a starter list of tasks for your industry — add any others you need ("haul drywall," "caulk baseboards," "final walkthrough"). Use the up/down arrows to put them in the order you'll actually do them, and tap to mark complete as you go. Any task you'll do regularly can be flagged as recurring.

TipLike the way this list turned out? Tap Save as Template inside the Tasks section to reuse this exact checklist on any future project — same client or not.
  3. 03

    Start the job

Tap Start Job from the project screen and the timer is running. GPS quietly logs your starting location so mileage gets billed accurately. You can pause and resume any time without losing minutes.

TipQuiet Mode hides dollar amounts on screen if you're in front of a client.
  4. 04

    Voice notes

Hands dirty? Tap the mic and talk for a few seconds — "add 25 dollars of zip ties to the supplies." The finished transcript lands in the project activity feed so you can search it by text later.

TipNo signal, no time? Capture the note on-site and review it from the project activity feed when you get a moment.
  5. 05

    Text notes

For things you'd rather type — a measurement, a client preference, an address — tap the note icon and jot it down. Notes attach to the project and roll up into the job log.

  6. 06

    Add a receipt

Snap a photo of a receipt, pull one from your photo library, or upload a file (a PDF emailed to you, for example). Fill in the total, vendor name, and category right there — or, if you're mid-job, finish the details from the project's activity feed later. Either way it's filed under the project's expenses.

TipReceipts stay connected to their project until you finish the details, so nothing falls through the cracks.
  7. 07

    Recurring jobs

For weekly lawn care, monthly pool cleans, or any job on a schedule — toggle Repeat Job on the project screen, pick the cadence (weekly / every 2 weeks / monthly / custom), and Handle It! will surface the next-due date and one-tap clone the job when it's time.

  8. 08

    Save as a template

Handle It! has two kinds of templates, and they cover different needs: • Task List Template (saved from inside the Tasks section) — stores just the checklist of tasks. Great for any standard procedure you'll run on different clients: "Standard kitchen deep-clean," "AC tune-up checklist," "New-roof punch list." • Project Template (saved from the main project screen) — stores the project name, hourly rate, flat fee, and notes. Most useful for the same client on a repeating job, where the pricing and project setup stay the same each visit. Apply either one when you start a new project to skip straight to working.

  9. 09

The feed — your live job timeline

Everything you capture during a job — voice notes, text notes, receipts, photos, task completions — lands chronologically in the feed. Scroll back to see exactly what happened and when, even weeks later.

  10. 10

The job log — a permanent record

When you end the job, Handle It! writes a clean log: hours worked, miles driven, supplies bought, tasks completed, and every note attached. That log lives with the project forever and feeds the invoice with one tap.

That's the whole flow.

Ten steps, but in practice it's just tap start, capture as you go, tap end. Handle It! does the rest.
